How members join and onboard

Know each step a new member goes through to join, and where to see who is stuck. How people get an account People join in one of three ways: - They sign up on your community. The Sign up button and your landing page lead to the sign-up page. Members sign up with an email and a password. - You invite them. In Studio, go to Members → Invite members. Each person gets an email with a button that reads Join and your community's name. It opens the sign-up page with their email filled in. An invite does not make an account. The person still signs up and onboards like everyone else. See Managing your members for the steps and limits. - You share your invite link. The Invite members dialog shows your sign-up link under Or share your invite link. Click Copy link and post it anywhere, for example in a chat group or your own email. Signing up is free. Paid groups, courses and blog posts unlock after the member joins, with a plan or product, or when you give them access. The steps a new member goes through 1. Sign up. They enter an email and a password twice, then click Create account. 2. Verify the email. They see "Verify your email" and get an email with a link. They can't sign in until they click it. If the email doesn't come, they can ask for a new one from the same screen after 2 minutes. 3. Welcome. The link in the email signs them in. They see your Welcome heading and Welcome text, and click Let's get started. 4. Profile. They fill in First name and Last name. They can add a Profile photo, a Cover photo, About, Location and Gender. Profile photo and About are required unless you set Profile picture and Bio to Optional in Settings → Onboarding. 5. Guidelines. They read your community guidelines, tick "I have read and agree to the community guidelines." and click Enter the Community. The button stays off until they tick the box. After step 5 the member lands on the newsfeed. Free groups that have Add new members automatically turned on add them at this point. You write the welcome texts and guidelines, and choose what the profile needs, in Settings → Onboarding. See Set up member onboarding. If a member skips onboarding The welcome screen has Skip for now. A member who skips can look around the community. When they try to take part, for example join a group, they see "Finish Your Onboarding" with a Continue setup button. They can post, comment, join and message only after they finish all 3 steps. See who hasn't finished In Studio, go to Members. With no filter on, the line above the list counts your members, for example "53 people · 44 active · 6 haven't finished signing up · 2 haven't verified their email · 1 suspended." Each member has a status: | Status | What it means | |---|---| | Email not verified | Signed up but has not confirmed their email yet. | | Not onboarded | Has an account but hasn't finished the welcome steps yet. | | Active | Can sign in and take part. | | Suspended | Can't sign in until you reactivate them. | To list only one kind, open All statuses and pick Active, Suspended or Not onboarded. You can't filter by Email not verified, but those members still show in the list. Members page, All statuses filter open with Active, Suspended Only members with the Member role can be Not onboarded. Your team roles never get that status. Analytics counts only active members who finished onboarding, so it can show fewer people than the Members page. Closing sign-up If you turn off Anyone can sign up in Settings → Sign-in & SSO, the sign-up page closes and you can't send invites. People then join only through your own sign-in (SSO). Only the owner can change this. See Sign-in and single sign-on (SSO). Related - Managing your members - Set up member onboarding - Member roles explained - Completing onboarding

Managing your members

Find a member, see what they have joined and bought, invite people, give free access, and suspend or delete an account. Community Admins can do everything here. Community Moderators can open Members too, but they only see the list and can suspend people with a lower role. See Member roles explained. The Members list In Studio, go to Members. The list shows everyone in your community, with their Role, Plan, Status, Joined date and Last active time. Admins also see each email. - Search members… finds a first name, last name, full name or username. Admins can also search by email. - Narrow the list with the 4 filters: All roles (including Instructors, people who teach a course), All memberships (Paid, No membership or one plan), All statuses (Active, Suspended, Not onboarded) and All time (Today, Last 7 days, Last 30 days). - The owner has an Owner label next to their role. Each row has a ⋯ menu with View in community, Change role, Suspend member (or Reactivate member) and Delete member. Members list filtered to test members, row menu open To act on several people at once, tick their rows. A bar shows how many you picked, for example "2 members selected", with Change role, Suspend and Delete. You can pick up to 100 members at a time. Bulk Suspend and Delete leave out Community Admins. A member's page Click a member to open their page. At the top are View in community, Give access, Change role and a ⋯ menu with Suspend member and Delete member. Member page header with View in community The tabs: | Tab | What it shows | |---|---| | Overview | Counts of groups, courses, blog posts, events and products bought, their plan, the Membership panel (status, start date, renewal date, billing) and Profile information. | | Groups | The groups they joined, with Free or Paid access. Use ⋯ → Remove from group to take them out. | | Courses | Their courses with progress. Use ⋯ → Unenroll to take them out. | | Blogs | The published blog posts they can read. | | Orders | Their plan payments and product orders, and any access you gave for free. | | Activity | Their last 30 actions: joins, enrollments, purchases, event sign-ups, posts and comments. | You can't remove someone from a group or course that they paid for. It stays until the order is refunded or their plan ends. Invite people Only Community Admins can invite. 1. In Studio, go to Members and click Invite members. 2. In Email addresses, paste the addresses. Separate them with commas, spaces or new lines. 3. Optional: write a Personal note, up to 500 characters. 4. Click Send N invites. You see "Invite sent to N people." Invite members dialog - You can send up to 50 addresses at a time, and about 200 invites a day. - People who are already members, or got an invite today, are skipped. The message says how many, for example "1 skipped (already a member or invited today)." - The invite is only an email. People appear in your list when they sign up. - You can also click Copy link under Or share your invite link and post the link yourself. What happens after they click the link is in How members join and onboard. If something goes wrong: - "You've sent today's invites. You can send more tomorrow, or share your invite link." Wait until tomorrow, or click Copy link and share the link. - "Sign-up is turned off for this community (members sign in through your own login), so invites can't be sent." The owner turns on Anyone can sign up in Settings → Sign-in & SSO. Give free access to paid content Only Community Admins can do this. Use it to give someone a paid group, paid course or blog collection without payment. 1. Open the member and click Give access. 2. Tick what to unlock under Paid groups, Paid courses and Blog collections. Items they already have show Has access. 3. Under How long, pick For life, or Until a date (access ends on) and pick the date. 4. Click Give access. The member gets access at once and pays nothing. - You can't give a plan or a product, only the groups, courses and collections in them. Free content isn't listed, because any member can join it. - If nothing paid exists yet, the dialog says "There is nothing paid to give yet. Make a paid group, course or blog collection first." - Give access is off for admins and moderators. They already see everything. - To end it, open the Orders tab, find Given by admin and click Take back. They keep access only where a purchase or plan also covers it. Suspend or reactivate a member 1. Open the member, click ⋯ and click Suspend member. 2. Click Suspend member in the dialog. You see their name and "has been suspended." A suspended member is signed out at once and can't sign in. Nothing is deleted. Their posts stay, and their subscription is not cancelled, so a paid plan keeps charging. To undo it, click ⋯ → Reactivate member, then Reactivate member in the dialog. Delete a member Only Community Admins can delete members. Delete erases the person's account data. It can't be undone. If they may come back, suspend them instead. 1. Open the member, click ⋯ and click Delete member. 2. Click Delete member in the dialog. You see "Member deleted." The person leaves the list. Their posts stay and show as "Deleted Member". They get no email. Delete member is off in these cases, with the reason: | Message | What to do | |---|---| | "Change their role to Member first." | Change their role to Member, then delete. | | "Their paid plan still renews. Cancel it first, so they aren't charged after their account is gone." | Ask the member to cancel their plan from their billing page. When it no longer renews, you can delete them. | | "Only TribeCrafter support can delete a Community Admin." | Ask TribeCrafter through Need help?. | | "This is you. You can't delete your own account here." | You can't delete yourself. | Rules - Nobody can change their own role or suspend themselves. - On another Community Admin's page, Change role and Suspend member are off, with "Only the community owner can change another Community Admin." The owner can still change a co-admin's role from the bar in the list. - Moderators can suspend and reactivate only Members, Course Managers and Blog Managers. Otherwise they see "You can only suspend or reactivate members with a lower role than yours." Member roles explained

Learn the 5 roles, what each one can open in Studio, and what each one can do there. Everyone in your community has one role. Everyone starts as a Member. The other 4 roles open Studio, each for its own part. People in those roles open Studio the same way you do: from the account menu in the community, with no second password. The 5 roles | Role | Opens in Studio | Team seat | |---|---|---| | Member | Nothing. Uses the community. | No | | Community Admin | Everything: all of Studio, including pricing, orders and settings. | Yes | | Community Moderator | Members, Groups and Reports. | Yes | | Course Manager | Courses only. | No | | Blog Manager | Blogs only. | No | Every role keeps what a member can do in the community. Admins and moderators also get every group, course and blog post without buying them. What each role can do Studio checks every action on the server. Some roles see buttons in Studio that don't work for them. This list says what works. Community Admin - Can do everything in Studio. - Some settings are for the owner only (the person who created the community in their TribeCrafter account): Domain, Email sending, Sign-in & SSO and billing. Stripe on Settings → Payments works only for the person who connected it. - Only the owner can change another Community Admin's role or suspend them. Community Moderator - Reports: reviews reports and removes or keeps the reported content. - Groups: opens groups and removes posts. Can't remove a post by an admin. - Members: sees the members list, without emails. Can suspend and reactivate Members, Course Managers and Blog Managers, but not other moderators or admins. - Can't change roles, give access, see a member's orders, delete members, remove someone from a group, or create, edit or archive groups. Studio shows some of these buttons to moderators, but they fail. - Doesn't get a notification for new reports. Only Community Admins do. Moderators find new reports on the Reports page. Course Manager - Creates and edits any course, with its sections and lessons. - Can't put a course in a plan or product. For a paid course, they ask an admin from the Who can join step, and the admin adds it to a plan or product. - Can't delete courses or unenroll members. Blog Manager - Writes and edits blog posts and creates categories. - Can delete only their own posts. - Can't create, change or delete blog collections, and can't change which collections a post is in. Studio shows these controls, but the changes don't save. Ask an admin to set a post's collections. No role sees member emails except Community Admins. Change someone's role Only Community Admins can change roles. 1. In Studio, go to Members and open the member. 2. Click Change role. The dialog shows "Currently:" and their role. 3. Pick the new role. A line under the list says what the role can do. 4. Click Save role. You see "Member role updated successfully." Change role dialog with Community Moderator picked The change works at once. The person is signed out everywhere and signs in again with the new role. If you change an admin or moderator back to Member, they lose the free access to all content that their role gave them. You can also change roles from the ⋯ menu on a row, or for several people at once: tick them in the list and click Change role in the bar that appears. Team seats Community Admins and Community Moderators each use a team seat. Course Managers and Blog Managers don't. The number of seats comes from your TribeCrafter plan. The Change role dialog shows it, for example "Team seats: 1 of 3 used". - Suspended staff don't use a seat. - Moving someone between Community Admin and Community Moderator keeps their seat. - When no seat is left, Save role stays off. Upgrade your TribeCrafter plan, or change another admin or moderator to a different role first. Rules - Nobody can change their own role. You see "This is you. You can't change your own role." - On another Community Admin's page, Change role and Suspend member are off, with "Only the community owner can change another Community Admin." This shows for the owner too. The owner can still change a co-admin's role: tick them in the Members list and click Change role in the bar. - Only TribeCrafter support can delete a Community Admin. - There is no role for one group only. A Community Moderator moderates the whole community. Related - Managing your members - Handle reports and moderate content - Build a course - TribeCrafter plans & pricing
