Archive or delete content

Know when you can delete a group, course, blog post or event, and when to archive or cancel it instead. The rule is the same everywhere: you can delete only a draft that nothing depends on. Everything else is archived (or, for events, cancelled). Archiving keeps your records, and you can undo it. Members already in an archived group or course keep access; an archived blog post is hidden from everyone. Before you start - Community Admins can archive and delete everything here. - Moderators see Archive on groups, but the server refuses it. - Course Managers archive courses and Blog Managers archive posts. - Only Community Admins can delete groups and courses. Archive Archiving hides an item from new members. 1. In Studio, open Groups, Courses or Blogs. 2. Click ⋯ on the item's row, then Archive. 3. Confirm. You see "Group archived successfully.", "Course archived." or "Post archived." To bring it back, open the item, click Edit, pick Published in the status menu, and save. | Archived item | What happens | |---|---| | Group | Hidden from new members. Current members keep access. | | Course | New members can't find or enroll in it. Enrolled members keep access. | | Blog post | Hidden from members. You can publish it again. | Your community needs one published group to stay live. You can't archive or unpublish the last published group. Publish another group first. Delete Delete is greyed out when the item can't be deleted. The menu tells you why. Groups list, ⋯ menu with Delete greyed and its reason | Item | You can delete it only when | |---|---| | Group | It is a draft, with no members (now or in the past), no posts, and no plan or product that includes it | | Course | It is a draft, with no lessons, no learners (now or in the past), and no plan or product that includes it | | Blog post | It is a draft and is in no collection | | Event | It is a draft. A published event is cancelled instead. | | Collection | No plan or product sells it, and no member has access through it | Deleting can't be undone. Studio may show Delete on a published or archived blog post. The delete is refused after you confirm. Archive the post instead. Common reasons you see: - "Only draft groups can be deleted. Archive it instead." - "This group has posts. Archive it instead." - "A plan or product includes this course. Archive it instead." - "This post is in a collection members pay for. Archive it instead." Events: cancel instead A published event can't be archived or deleted. Cancel it: open the event, click ⋯, then Cancel event…. Members who are going get an email and a notification. See Create an event. Plans and products Plans and products follow their own rules for closing and archiving. See Create a subscription plan. Blog collections

Put premium blog posts in a collection, then sell the collection through a plan or product. A collection is a set of premium posts you sell together. You never sell a post on its own. Members never see collection names: they see a premium post and a Get access button. Before you start - Only Community Admins can create, change or delete collections. Blog Managers can see the Collections tab, but their changes fail. - To sell a collection, you need a published plan or product, and that needs Settings → Payments ready. Create a collection 1. In Studio, go to Blogs and open the Collections tab. 2. Click Create collection. Blogs, Collections tab 3. Fill in Collection name (up to 60 characters). Members don't see it. 4. Under Posts, tick the posts you want in it. 5. Click Create collection. A message says the collection is created: "Add it to a plan or product to sell it." You can also add a post to a collection while you write it: on the Who can read step, pick Premium, then pick the collection in Add to collections, or click New collection. Sell a collection Selling happens on the plan or product, not on the collection. 1. Go to Pricing and open the plan or product (or create one). 2. On its Content step, under Blog collections, include the collection. 3. Save, and publish the plan or product. A member who buys one of these can read every post in the collection. A plan or product can also give every premium post, including future ones. See Choosing what a plan or product unlocks. Check a collection Click a collection's name to open it. You see: - Posts: the posts in it, with their access and status. To add more, click Edit collection. - Sold in: the plans and products that sell it. "No published plan or product sells this collection yet." means nobody can buy it. In the list, a collection that nothing sells shows Not on sale and a link Add to a plan or product. Change or delete a collection 1. Open the collection and click Edit collection. 2. Change the name or tick and untick posts. 3. Click Save changes. You see "Collection updated." To delete it, click ⋯ and then Delete collection. The posts themselves are not deleted. You see "Collection deleted." You can't delete a collection while: - a plan or product sells it: "A plan or product sells this collection. Remove it from them first." - members have access through it: "Members have access through this collection, so it can't be deleted." Rules and limits - A premium post needs a collection that a plan or product sells before you can publish it. - If the last collection that sells a published premium post stops being on sale, members who can read it now keep access. Nobody new can buy it. - A post that is in any collection can't be deleted. Archive it instead. If you close the tab, the upload is lost. - You can save the course while a video uploads. The toast tells you how many are still uploading. - A video that failed to upload blocks publishing. - The bar under the upload box shows your video storage, for example "Video storage: 18.2 GB of 50 GB used". When it is full, delete videos you no longer need, upgrade your plan, or use a YouTube or Vimeo link. - Deleting a lesson or section with an uploaded video deletes the video too, when you save. Free and paid courses - Free: any member enrolls with one click. - Paid: members get in through a plan or product that includes the course. Subscribers enroll with one click while they stay subscribed. Buyers of a product are enrolled automatically. There are no free plans or products. For a paid course: 1. Save the course as Paid. 2. On the Who can join step, click Ask an admin to publish. You see "Sent to the community admins. You'll get a notification when you can publish." 3. Every Community Admin gets a notification. The course shows Waiting for an admin. 4. When an admin adds the course to a plan or product, you get a notification. Then publish it yourself. Course Managers can't delete courses or unenroll members. Change a course later Open the course and click Edit. Use the status menu next to Save changes to unpublish or archive it. - You can't move a course back to draft while members are enrolled. Archive it instead. - If a live paid course loses its last plan or product, Studio asks if you want to stop selling it.
